Understanding Each Cost Component
Notice Period Payments
Most MSP contracts require 30-90 days notice. During this period you're paying for services you may no longer be using β your new MSP is already live. This is often the single largest cost of switching.
Negotiation tip: Some MSPs will waive or reduce the notice period if you sign a transition agreement. Ask before submitting formal notice.
Early Termination Fees
Check your contract for "early exit penalties" β these can range from 50% of remaining contract value to a flat $5,000-15,000 fee. Under Australian Consumer Law, termination fees must reflect genuine costs to the provider, not be punitive.
Data Migration Costs
Migrating email (Exchange/M365), file servers, line-of-business applications, and backups to a new provider costs time and money. Most new MSPs include basic migration in their onboarding package β shop around.
Hardware Buyback
If your MSP provided hardware (firewalls, switches, servers) as part of a managed lease, you may need to buy it out to take it to a new provider. Get this quoted in writing.
